Billibly

Billibly is a SaaS invoicing and expense management platform built specifically for freelancers, consultants, and small agencies — the professionals who generate most of their revenue through client services but spend an embarrassing amount of time chasing payments and managing financial admin.

The problem Billibly solves is well-known but poorly addressed by existing tools. Most invoicing software is either too simple (no automation) or too complex (built for accountants, not service providers). Billibly fills that gap with a product that's powerful enough to handle multi-currency billing, tax estimation, and client portals — but simple enough that a freelancer can set it up in 20 minutes and be invoicing the same day.

Inqodo built the full SaaS product from the ground up. The architecture is multi-tenant, meaning each freelancer or agency gets their own isolated workspace with their own clients, invoices, and financial data. We used a React frontend with a Node.js backend and PostgreSQL database, optimised for the real usage patterns of service businesses: high read frequency on dashboard data, transactional writes on invoice creation, and reliable webhook handling for payment integrations.

The auto-invoicing feature is the product's biggest time saver. Users can set up recurring invoice schedules for retainer clients and the system handles everything from generation to delivery to follow-up reminders — without a single manual action after the initial setup. Late payment reminders are automatically triggered at configurable intervals, which directly addresses the cash flow problem that kills freelance businesses.

The client portal gives Billibly a competitive edge that generic invoicing tools lack. Clients receive a branded link where they can view all outstanding invoices, download PDFs, and pay directly — reducing back-and-forth email chains to zero.

Since launch, Billibly users report getting paid significantly faster, with automated reminders recovering payments that would otherwise have gone weeks overdue. This is a textbook example of how a well-scoped SaaS MVP — focused on one clear pain point — can deliver immediate, measurable value to its users.
